Product Inventory

Operation Objective

Keep track of inventory levels for each SKU across warehouses at all times, identify stockout risks, occupied stock in outbound processes, and slow-moving items, and make decisions accordingly regarding replenishment, clearance, and other actions.

Core Metrics Overview

Each SKU in the list displays the following inventory metrics. Understanding these numbers is the foundation for making decisions:

Tip: Available inventory is the number you should focus on most. Platform order reviews will verify whether this quantity is sufficient.

Common Business Scenarios

Scenario 1: Determine Whether a SKU Needs Replenishment

  1. Search for the target product in the list by SKU or product name.
  2. Check the "Available" column:
    • If available inventory < 10 items, the system will flag "Inventory Alert".
    • If available inventory is close to 0, it may already be affecting outbound operations; replenish as soon as possible.
  3. Check the "In Transit" column: Click the number to display the corresponding inbound plans and confirm whether goods are already on the way.
  4. Make a comprehensive judgment:
    • If in-transit quantity + available inventory is still insufficient for the next 7-14 days of sales, immediately create a Delivery Request to replenish.
    • If the in-transit quantity is sufficient, you can wait until the inbound is completed before reassessing.

Scenario 2: Order Review Fails Due to Insufficient Inventory

  1. When a platform order review fails, it will indicate which specific SKU has insufficient inventory.
  2. Search for that SKU in the product inventory list.
  3. Check the "Available" column to confirm the current available quantity.
  4. Check the "In Outbound" column: Click the number to display details of outbound plans occupying that inventory, so you can understand which orders are occupying the inventory.
  5. Handle according to the situation:
    • If other orders are occupying too much, consider canceling some low-priority outbound plans to release inventory.
    • If inventory is truly insufficient, replenish immediately or negotiate a schedule change with the customer.

Note:

  • In Outbound: Inventory "reserved" by orders that has not yet been actually shipped out. It is still counted in total inventory but not in available inventory.
  • The "Order Number, Quantity, Time" in the pop-up window can help you determine whether these orders are reasonable and whether they can be canceled.

Scenario 3: Suspected Inventory Data Anomaly - Verify Account vs. Actual

  1. Filter by warehouse in the list and export all inventory for that warehouse.
  2. Compare with the warehouse's actual inventory count data:
    • Total Inventory should match the physical goods in the warehouse.
    • Good / Defective should match the quality inspection results.
  3. If discrepancies are found:
    • If numbers are too low, it may be because inbound is not completed or outbound has not been reported back. Please check Inbound Overview and Outbound Overview.
    • If numbers are too high, the warehouse may not have updated yet. Please go to Ticket Management to submit a ticket and contact the warehouse for verification.
  4. Through Inventory Flow, you can trace the inbound and outbound details for each SKU to help locate the cause of discrepancies.

Scenario 4: Identify and Handle Slow-Moving Items

  1. Check the "Slow-Moving Alert" label in the list (flagged when average storage age > 90 days).
  2. You can also go to Inventory Age Analysis to view more detailed storage age distribution.
  3. Determine the handling method based on storage age and sales volume:
    • Storage age 91-180 days: Consider promotional clearance or Transfer Request to other warehouses.
    • Storage age > 180 days: Recommend initiating a Scrap Request for disposal to avoid ongoing storage costs.
  4. After handling is completed, the relevant inventory will be deducted from "Available", and total inventory will be updated accordingly.

Scenario 5: Handle Defective Items

  1. Check the "Defective" column in the list to confirm the quantity of defective items.
  2. Defective items cannot be used for outbound. Long-term occupation of warehouse space will incur storage costs.
  3. Handling methods:
  4. After handling is completed, the quantity of defective items will be deducted, and good inventory will remain unchanged.

Scenario 6: Batch Initiate Inbound/Outbound Plans After Cross-Page Selection

When you want to use multiple SKUs for the same inbound/transfer/scrap operation at once, you can use the list's "cross-page selection + batch operation" capability.

  1. Check the product rows you want to operate on in the list.

    • Cross-page selection is supported: After switching pages or filter conditions, checked rows will be retained and not lost.
    • A real-time statistic showing "N items selected" will be displayed above the list.
    • If you need to clear all selections, click "Reset" in the toolbar.
  2. Click the "Batch Operation" dropdown button in the toolbar and select according to business needs:

  3. After jumping to the corresponding creation page, the selected products will be automatically brought into the product details. You only need to supplement information such as quantity, box number, and delivery address before submitting.

Tip:

  • The batch operation button is disabled when no rows are checked. Please check at least one row first.
  • Cross-page selected rows will be retained until you actively clear them or leave the page.
  • The product details brought in after jumping can continue to be added, deleted, or have quantities adjusted on the creation page.

Scenario 7: View Full SKU List for a Warehouse

  1. Select the target warehouse in the filter conditions.
  2. Click query, and the list will display all SKUs for that warehouse.
  3. You can click "Export" to generate an Excel list for inventory counting or reconciliation.
  4. When exporting, you can check "Export Selected" to export only specific SKUs, or "Export All" to export all data for that warehouse.

Common Questions

Why Is Available Inventory 0 When Total Inventory Still Has Stock?

Available inventory = Total inventory - In outbound - Defective items. This situation usually occurs because:

  • A large amount of inventory is "In Outbound" (allocated to pending orders). Please click the in-outbound number to view occupation details.
  • Some inventory is "Defective" and cannot be used for outbound.
  • If you confirm that no orders are occupying it and there are no defective items, it may be a data synchronization delay. Please refresh later or submit a ticket.

Why Doesn't In-Transit Quantity Equal the Inbound Quantity I Submitted?

  • In-transit quantity only counts inbound plans that have been "submitted but have not yet arrived".
  • After goods arrive and inbound is completed, in-transit quantity will be deducted, and total inventory will increase.
  • If the inbound plan is canceled, in-transit quantity will also be deducted.
  • If you have questions, please click the in-transit number to view the corresponding inbound plan details.

Can the Inventory Alert Threshold Be Adjusted?

The current inventory alert threshold is available inventory < 10 items, which is uniformly set by the system. If you need personalized alerts (such as setting different thresholds by SKU), please contact the OSL business manager to provide feedback on your needs.
